You found a snack service that looks good, clicked "get a quote," and now a sales rep wants to schedule a call. That is usually the first sign there is a contract behind the curtain. Here is how office snack services actually handle contracts and minimums, and what to ask before you give anyone a card number.
Short answer: some do, some don't. Full-service programs (the ones that stock your kitchen for you) almost always have a monthly minimum, often $1,500 to $2,500, and a term of six to twelve months. Why some snack services need contracts
It is not (usually) a trick. A full-service program sends a person to your office, keeps inventory for you, manages a fridge, and often installs equipment. That is a real operating cost, and a provider cannot take it on for a client who might leave in month two. So they ask for a term. The term is the price of the white-glove part.
The problem is that a lot of small offices don't need the white-glove part. They need snacks to show up. When a 12-person startup signs a twelve-month agreement built for a 200-person floor, they are paying for a service model they will never use.
The three kinds of service, and what each asks of you
- Full-service office pantry programs. Someone stocks your kitchen, tracks what runs out, and manages vendors. Expect a monthly minimum in the low thousands and a term. Right for 75+ people in the office most days. (This is what our parent company, Office Libations, does, and it is genuinely the right answer once you are that size.)
- Vending and micro-markets. Equipment installed on site, often "free" in exchange for a multi-year placement agreement. Your staff pays per item. Minimums show up as foot-traffic requirements: they want a building with a few hundred people.
- Subscription snack boxes. A box shows up monthly. You pick what is in it. No one comes to your office. Usually no contract, and the minimum is one box. This is the category built for 5 to 50 person teams.
Minimums: order size, spend, and headcount
"Minimum" means three different things depending on who you ask, so pin it down:
- Order minimum: the smallest thing you can buy. For a subscription box this is one box (ours is 150 snacks for $199).
- Spend minimum: a monthly dollar floor regardless of what you use. Common in full-service. If you see "$1,500/month minimum," that is what it means, and it applies in a slow month too.
- Headcount minimum: "we serve offices of 50+." Usually a polite way of saying the route economics don't work below that, which is fair, and also a clear signal to look elsewhere if you are 15 people.
Five questions that surface the fine print
- Is there a term, and what does it cost to leave early?
- Is there a monthly spend minimum, and does it apply if we skip a month?
- Can we change what is in the order every month, or is the mix fixed?
- Who owns the equipment, if there is any, and what happens to it if we cancel?
- Can I do all of this online, or does every change go through a rep?
If the answers involve a sales call, a PDF, and a signature, you are looking at a full-service program. Fine if you need one. Expensive if you don't.
