Every office snack budget starts the same way: someone gets reimbursed for a Costco receipt, finance asks "is this going to be a monthly thing?", and now you need a number. Here is what office snacks actually cost per employee per month, where the money goes, and how to set a budget that doesn't get quietly cut in Q3.

Short answer: a reasonable office snack budget is $15 to $25 per employee per month for a hybrid team, $25 to $40 for a team in five days a week. The number, by schedule

Cost per employee is really cost per snack times snacks per employee, so it moves with how often people are in:

  • Hybrid (2 to 3 days a week): 12 to 15 snacks a month each. At $1.30 to $1.60 a snack, that is roughly $15 to $25 per person.
  • Full-time in office: closer to 20 snacks a month. $25 to $40 per person.
  • Mostly remote with monthly onsites: under $10 per person, and honestly a single box every other month covers it.

Where the money actually goes

A $199 box of 150 snacks is $1.32 a snack. That is the whole number: the snacks, the shipping, the box. There is no per-visit fee because nobody visits. Full-service programs cost more per person mostly because of labor and route costs (someone drives to you, stocks the shelf, manages the fridge), not because the granola bar is different.

The other place money goes is waste. An office that buys 48 of one snack because it was on sale eats 20 of them and throws out the rest in March. Waste is the hidden line item in every DIY snack budget, and it is why per-snack price is a misleading way to compare options.

  • Waste: the case of something that seemed like a good idea. Call it 15%.

All in, the "cheap" option lands between $200 and $300 a month for a 12-person team, and someone spent a Saturday morning on it. That is the comparison we would make, and it is why we say the box is cheaper than the run you are already doing, not cheaper than the shelf price at the warehouse.

Three things make a snack line survive a budget review:

  1. Make it a fixed number. "$199 a month" survives. "Whatever the Costco receipt was" does not, because it is different every month and nobody can forecast it.
  2. Tie it to headcount. "$16 a head" is a number a CFO can nod at. It scales when you hire and shrinks when you don't.
  3. Keep it cancellable. A perk you can stop next month never has to be defended for a year. That is a real advantage over anything with a contract.
