If you just took over office management, the break room came with the job, and probably with no documentation. This checklist takes you from inherited chaos to a running system in 30 days. Work it top to bottom once; afterward the break room needs about 20 minutes of your month.

Days 1-3: Audit What Exists

Check every item's expiration date and toss the archaeology. Note what is opened and stale versus sealed and fine. List what people actually finished (empty spots tell the truth). Find out who ordered snacks before, from where, and what it cost. Locate any standing orders or subscriptions someone forgot to cancel.

Days 4-7: Learn the Team

Send one short message: favorite snacks, anything you avoid, any allergies I should know about. Record allergies somewhere permanent, not in your head. Note the office rhythm too: which days are full, when the afternoon rush hits, whether meetings raid the shelf.

Week 2: Set the Budget and the Mix

Propose a per-person number rather than a lump sum; $5 to $9 per person per week is the defensible range and easier to approve. Build the mix on the four-category rule: salty-crunchy, sweet, protein, light, with at least three options per dietary restriction on the team. Favor individually wrapped items for shelf life. Our budget-tier guide maps quality to spend levels.

Week 3: Install the Restock System

Pick monthly delivery over store runs; your time is worth more than the errand. Use the quantity formula (two servings per person per in-office day) to size the order. Set up staged restocking: put out a week's supply at a time and cabinet the reserve, so favorites last the month. Put a recurring 15-minute calendar slot on delivery day for the shelf refresh.

Week 4: Close the Loop

Note what vanished first and what sat. Swap the sitters out of the next order. Tell the team one sentence about what changed ("more of the jerky, dropped the rice cakes") so they know someone is steering. That sentence buys more goodwill than the snacks do.

The Ongoing 20 Minutes

Monthly: five minutes editing the order, fifteen on the shelf. That is the entire job once the system runs. Office Snack Boxes was built for exactly this handoff: 150 snacks, customizable, dietary filters, flat pricing, free shipping, no contracts. Set it up once and inherit a break room that runs itself, then hand this checklist to whoever comes after you.
